A step-by-step guide to moving into your new office

Moving into a new office is an exciting milestone.  It signals growth, new opportunities and a fresh start for your business. But let’s be honest, office relocations can feel overwhelming if you don’t have a plan. Running twelve fully managed workspaces in London, we have advised thousands of new clients on moving into our buildings over the past four decades.  So, to help you make your transition smooth and stress-free, we’ve put together a practical step-by-step guide.

Step 1: Plan early

Start planning at least three to six months in advance. Assign a move coordinator within your team and set a realistic timeline. Make a list of everything that needs to be moved, updated, or purchased.  Don’t forget to build a budget that covers not only moving costs but also furniture and downtime.

Step 2: Audit & declutter

Before packing, take inventory of your current office. Get rid of old files, unused equipment, or bulky furniture that won’t serve you in your new space.  Think of it as a fresh start and only bring what supports productivity and your company culture.

Step 3: Hire the right movers

Not all moving companies are created equal. Choose professionals with experience in office relocations they’ll understand how to handle IT equipment, office furniture, and sensitive documents.

Step 4: Update your information

Notify clients, vendors, banks, and service providers of your new address. Update your business listings on Google, your website, email signatures, and social media.

Step 5: Set up IT early

To ensure that your team can turn up on the first day in your new office and start work effectively, plan ahead for the key things they need.  Coordinate with the building management team and your IT support ahead of time to ensure that they can plug and go securely. Nothing slows down productivity like moving into a space without access to the network.

Step 6: Design your space with intention

A new office is an opportunity to create a different working environment that shapes the way your team works in the future.  Think about how your new office layout can improve workflow and morale, with collaborative zones, quiet spaces and private meeting areas.  Equally important are comfortable break out spaces where the team can relax.

Step 7: Communicate with your team

A new office could provide an opportunity to motivate your team, so keep them informed throughout the process.  Share moving dates, packing responsibilities and floor plans of the new office.   Address any concerns head-on by inviting queries and making them feel involved.

Step 8: Celebrate the move

Once you’re settled in, arrange an office-warming event, something a bit fun to boost morale, welcome clients, and start fresh with positive energy!
